Course overview
Given the pressures facing the NHS today, time is a precious, and all meetings need to be optimised to ensure efficient use of time. The meeting administrator plays an essential role in helping forums to use their time effectively.
This course in an introduction to effective meeting administration and minute taking for those new to the NHS or those who administer and minute meetings below board and board committee level.
The course will cover the full meeting cycle from collating and circulating pre-meeting information, meeting logistics and taking notes during the meeting, along with drafting the notes and actions to ensure the outcomes from the meeting are delivered accurately.
Who should attend?
- Those who are new to administering and minuting meetings in the NHS
- Those who administer and minute for meetings below board and board committee level
- This course may also be suitable for those who have been minuting for years and require a refresher or would like to compare their ways of working with others.
I would recommend that everyone who takes minutes goes on the course, even those who have been doing it for some time, as it allows time and space to examine what you do and how you do it and to look at things that can be done differently.
Course objectives
- The role of the meeting administrator/minute taker and their relationships with the meeting chair
- Explore the full cycle of a meeting including:
- Agenda planning
- Action logging
- Requesting and distributing meeting resources
- Meeting logistics (in-person, online or hybrid meetings)
- Note taking in the meeting
- Drafting notes and actions to be agreed and circulated to attendees.
- Essentials of effective minutes including what should and should not be minuted
- Develop an understanding of the purpose of an agenda, minutes and papers
- Provide an overview of what the regulators want to see to help identify what should be included in minutes
- Deliver practical exercises to help develop skills in effective minute and note taking
- Provide the opportunity for you to meet and network with peers to discuss common issues and potential solutions.
Really informative day thank you, after all the years of taking minutes and teaching myself, I wish I had been given this opportunity sooner. Sessions were broken up into manageable sections. Worked really well as a virtual course.

This course is a full day event running in two sections across one day. The course will be delivered on Zoom. Estimated timings are:
Section one: 9.30am - 12.45pm
Section two: 1.45pm - 4.00pm
